In many projects there are tasks which are a repeatable--a recurring meeting, a monthly systems checkin, etc. Moovila allows for certain tasks to be set to repeat. Here's how:
- Go to the project in which you'd to apply the repeat task. Click into the Column Display icon in the upper navigation, and select the Repeat column from the dropdown menu.
- The Repeat column appears--note that it will be displayed as the furthest column to the right, but can be dragged and dropped to another position if desired. Click on the Repeat icon in the Repeat column for the task that will be recurring.
**Note that in order to set a task to repeat, the following criteria must be met:**- Task must have a due date.
- Task may not have time, expenses or revenue associated with it (although all of these may be added to individual tasks once the repeat task has been set up).
- The Repeat Setting dialogue opens, displaying the following options:
- Frequency: Choose one of the following to set up the interval at which the recurring task will occur:
a. OFF: This task will not repeat. b. Daily: This task will repeated on a daily basis with the frequency indicated--every one day will create a task for each day, every two days will create a task for every other day, etc. Tasks can also be set to skip weekends (no work will be scheduled for a weekend), skip weekdays (work will only be scheduled on the weekends), or both boxes may be unchecked to schedule on the next consecutive days. c. Weekly: This task will be repeated weekly with the frequency indicated--every one week will create a task for every week, every two weeks will create a task for every other week, etc. Choose the day(s) of the week on which the task should be repeated. The day on which the task is currently scheduled will be applied by default. (In the example below, the scheduled date for the original task was on a Thursday). d. Monthly: This task will be repeated monthly with the frequency indicated--every one month will create a task for every month, every two months will create a task for every other month, etc.Choose to repeat monthly using the date on which the first task will occur or by selecting a specific day in the month (e.g. the 3rd Wednesday of every month). e. Annually: This task will be repeated annually with the frequency indicated--every one year will create a task for every year, every two years will create a task for every other year, etc. Choose to repeat annually using the date on which the first task will occur or by selecting a specific day in the year (e.g. the 3rd Wednesday of the month in which the first task will occur). - Duration: Establish the expiration date for the task's recurrence or the number times the task will be repeated.
a. Until an Expiration Date: Enter a date here and the task will repeat with the frequency you applied above, until the expiration date is reached. The upcoming dates of repeat instances will be listed below. b. A Set Number of Times: Choose the number of times the task will repeat. The upcoming dates of repeat instances will be listed below.
- How to Handle Holidays + Weekends: Choose a setting for what to do with tasks that fall onto holidays or weekends.
- Frequency: Choose one of the following to set up the interval at which the recurring task will occur:
- Click Apply to create the repeat tasks.
- The Edit PowerGrid screen will open, displaying all of the repeating tasks in green. Click Save to keep these repeat tasks.
- Note that all of these new repeat tasks contain the Repeat icon both in the task name and in the Repeat column. To edit the series of repeating tasks, click on the Repeat icon in the Repeat column.
- You will be asked if you would like to open the repeat configuration for this task. Click Yes.
- The Repeat Settings Dialogue will open. Make any desired changes and click Apply to save.
- The Edit PowerGrid screen will open, displaying all tasks impacted by the changes made in green. Click Save to keep those changes.
