Understanding Data Visibility for Extended Users

An extended user is someone from outside of the enterprise who has been granted access to Moovila for interaction on projects. Oftentimes this is a customer or vendor who will be assigned tasks in a project, or who simply needs access to monitor progress. Below is a breakdown of how to add these users. A few important things to note about extended users:

  • They will never see financial columns, including: 
    • Finance: CAPEX-Actual / Budget / Task Allocations / Top Level Budget
    • Finance: Equipment-Actual / Budget / Task Allocations / Top Level Budget
    • Finance: General-Actual / Budget
    • Finance: Labor-Actual / Budget / Task Allocations / Top Level Budget
    • Finance: Material-Actual / Budget / Task Allocations / Top Level Budget
    • Finance: Revenue-Actual / Estimate / Remaining
    • Finance: Subsidiary-Actual / Budget / Task Allocations / Top Level Budget
    • Finance: Total-Actual / Budget / Task Allocations / Top Level Budget
    • Finance: Total Cost-Actual / Estimate / Remaining
    • Finance: Total Margin-Actual / Estimate
  • They CAN see the following project columns: work estimate, work estimate balance, work remaining, cost code, and billing code. (**This varies for MSP enterprises, please see details below.)
  • They CAN see the following portfolio columns: value, impact, effort total, effort balance.
  • They will always hold the security role of a standard user, limiting their functionality to only the most basic permissions.
  • They will not see any projects on which they are not a team member.
  • Their level of access within a project is the role of Team Member. They cannot view the Project Info dialogue.
  • Their dashboards will display as defaults for Project, Portfolio, and My Task views.
  • They will never see time entries and do not have the ability to make time entries.
  • They are unable to manipulate dates on any tasks that they do not own.
  • Any tasks to which they don't have access will appear as greyed out in the Critical Path and will not display in other project views.
  • They will see attachments for tasks to which they have access and any project attachments that have not been marked with privacy restrictions.
  • They will see notes for tasks to which they have access and any project notes that have not been marked with privacy restrictions.
  • They will not see Carmen in their upper navigation or any details in the Diagnostic Panel.

**Effective 6/14/24, the following fields will be removed from PowerGrid and Dashboard Views for extended users invited by MSP enterprises:

  • MyTasks and Project Views:
    • Billing Code
    • Cost Code
    •  Work Estimate
    • Work Estimate Balance
    • Work Remaining
    • Anchor Date
    • Lock Delete
    • Privacy
    • Resources
  • Portfolio Views:
    • Value
    • Impact
    • Effort Total
    • Effort Balance
    • Scope
  • Additionally, the following fields will be removed from the Smart Task Detail View:
      • Work Estimate
      • Resources
      • Billing Code
