Integration with HubSpot allows HubSpot deal records to be brought into Moovila for project creation, resource forecasting, and more. Here's how to connect the two:
- Before starting the configuration, make sure you have created product records in Moovila for each of the HubSpot products you intend to have the synchronization monitor, and have also associated each of these products to a Moovila project template.
- From the Moovila homescreen, click on the More Options icon at the bottom of the left navigation.
- The More Options menu opens. Select Integrations to continue.
- The Integrations dialogue opens. Select the HubSpot tile.
- The HubSpot Setup Wizard screen opens. Click Connect to HubSpot to proceed.
- The HubSpot Authentication modal opens, first prompting you to log into your HubSpot account.
Once authenticated, this window closes returning you to Moovila.
- Before the data syncing process begins, you will choose which pipeline or pipelines you would like to have synced into Moovila. Check the box to the left of each pipeline you wish to bring into Moovila. Click Next to proceed.
- The next phase of the integration wizard will set up product mapping and flows. A product mapping is the association of a product record within HubSpot with a product record in Moovila. Once you have the mappings for the products you wish to drive deal imports into Moovila, then you'd set up the flow for each product to specify at what deal stage associated deals should be imported into Moovila. To begin, it might be helpful to add a default workflow for all products if your business requirements dictate that all or multiple products would be imported at the same deal stage. If so, then the default workflow can simply be applied instead of specifying individual workflows for each product. Click the Add Default Workflow link to get this set up.
- The Product Workflow dialogue opens, displaying a listing of the pipelines that have been selected to be synced into Moovila. For each pipeline, you will select the earliest stage from which you wish deals to be synced, and at which stage a project should be automatically generated. You may also opt not to auto-create projects, and create them manually when the time is right. Default workflows can then be selected for usage by any product being synced from HubSpot. Click Save to continue.
- In the Product Mapping & Flows dialogue, select a HubSpot product from the dropdown menu, and then select the corresponding Moovila product. By default, the "Use Default" box will be checked, assigning the default workflow to that product. To assign a different workflow, uncheck this box and click on the Edit Workflow link for that product.
Click on the Add Additional Products link, and repeat the steps above to continue adding products to this listing until you have added all products which you’d like the integration to monitor in HubSpot and trigger opportunity synchronization. Once ready, click the Next button to continue.
- The next step in the wizard opens--the Opportunity Sync screen. This is where you will indicate the date range for the HubSpot deals to be synced into Moovila. Use the date picker to choose the date after which the HubSpot deals' Created Date or Modified Date must be on or after to be picked up by the sync. Once the date has been selected, click the Enable and Close button to proceed.
- Note that now the Hubspot tile in the Integration screen now displays that it has been enabled.
- Once HubSpot deals have been synced to Moovila opportunities, they can be found by clicking the Opportunities icon in the left navigation. Learn more about tracking opportunities here. All opportunities synchronized from HubSpot will be read-only.
