- In the left navigation, click on the Opportunities icon.
- The Opportunities screen opens, displaying any opportunities that already exist in the system. To add a new opportunity, click on the "+" button at the base of the screen.
- A new opportunity row will appear. Define a status, enter an opportunity name, choose a customer and product from the dropdown listing (or add new ones), enter a value, estimated close date, stage, and probability. Click the Save button to continue or Cancel to discard changes.
- To associate the opportunity with a project, click on the action button in the Linked Projects column.
- The Manage Linked Projects dialogue opens. In this instance we are working with an opportunity that features a product that does not have a template associated with it. This limits our actions here to linking the opportunity to an existing project. (To learn how to associate a product with a template, skip to step 8.)
To link this opportunity to an existing project, click into the Linked Project field where it says [No Active Project]. Select the appropriate project from the dropdown menu, and then click the Apply button to continue. - In the Opportunities screen the linked project button now appears active and indicates that there is a project associated with it. Click Save to keep these changes, or Cancel to discard.
- To assign a template to a product so that it can be associated with incoming opportunities on an ongoing basis, click on the More Options
icon in the left navigation, then select the Data Table Maintenance option from the menu.
- The Data Table Maintenance dialogue opens. Click on the Product dropdown to open it.
- The Product dropdown opens. Mouse over the product that the template will be associated with, and click on the Edit icon that appears.
- The Edit Product dialogue opens. Use the dropdown menu to assign a project template to this product, then click Save to save changes.
- Once the product has been associated with a template, that template will appear by default in the Manage Linked Projects view alongside the product. The Create & Link button will be activated, indicating that a new project can be created for this opportunity using the template. To proceed, click on that Create & Link button.
- The Copy Project dialogue opens. Choose use the existing owners established in the project template, or to assign all of the tasks in the project to yourself. When the project is created it will open up in the Planning status, so even if existing owners are used they will not be notified until the project status is updated to Active. To create the new project, click the Continue Copying button. To cancel, click the Cancel button.
- The Copy Project dialogue opens. Change the project name, and any other relevant details. Note that by default, the Start Date will be set to the date of the opportunity's estimated close. Click the Copy Project button to proceed, or the Cancel button to discard the new project.
- The new project will be created, and a notification will be sent once the creation is complete.
- The new project can be found in the Project Portfolio and will also now display as a linked project in the Linked Projects view of Opportunities.
