RPAX Risk Items: Capacity Conflict

What it is:  A team member has exceeded the number of feasibly workable hours with the tasks assigned to them, as indicated by their capacity settings. One or more of the tasks that have overfilled this team member's plate is part of this project. In the example below, 10 hours worth of work in a single day.

Why it matters: Team members with workloads that exceed their set capacity are much less likely to be able to complete all of the tasks assigned to them on time.

What's next:

  • Within the Carmen dialogue, visit the Capacity Conflict and click on a task tile to get started.

Click again to open the Capacity Conflict Manager.

The Capacity Conflict Manager will display which specific tasks have contributed to this conflict. If the task owner is the only person on your team able to complete this task, you might negotiate with other projects to see if they could reassign their task to another resource, freeing up time for your task owner, or even look into other dates on which the task could be completed. Click on the assigned user to reassign the task.

The User Selection dialogue opens. Choose a resource from this list or click the toggle at the top of this dialogue to open the Resource dialogue.

The Resource dialogue opens, displaying a listing of available resources, with the most appropriate resource listed first. These are sorted based upon the needed resource type, any skills associated with the task and the capacity of each resource. Check the box to select a new task owner.

The new task owners appears alongside the task in the listing, alleviating the conflict. Click Save to finalize this reassignment.

  • Users with the Resource Capacity Module or Smart Schedule may also use these features to work through user capacity conflicts.
