- From the Project Portfolio or an individual project, click the Notes icon in the upper menu bar to open the Notes dialogue.
- The Notes dialogue opens. Click the "+" sign in at the base of the screen to add a new note.
- A new row appears. Depending on whether the Notes dialogue was accessed via the portfolio or at the project level, the columns displayed will vary slightly. Enter the notes in the active field.
- Choose a category (if desired) from the dropdown listing. If the category desired does not appear in this list, click the [Create new Note Category] option to add the new category.
- Define the visibility of the notes, if needed. By default, all participants are able to view, unless your organization has an established default note visibility setting (admins may learn more about how to set this up here). Internal Team Members visibility limits visibility to users who are a part of the enterprise (with whitelisted email addresses), so notes would not be available to extended users (contractors or clients, for example). Project Owner + Team Leaders visibility is available only for notes at the project level and limits visibility to defined project owners and team leaders for that specific project. Executive Note visibility is limited to users with the Executive Note permission.
**Clients with PSA system integrations do not have note visibility options for "Project Owner and Team Leaders" or "Executive Visibility." This is to ensure that permissions are synced appropriately between Moovila and the PSA systems.
- If the note is being added at the portfolio level, a project may be selected from the dropdown. If a project is assigned to a portfolio-level note, it will now appear at the project level as well, and if the Project Note option is not selected in Filter criteria, it will no longer appear at the portfolio level.
If a note is being added at the project level, a task may be selected from the dropdown.
- Click Save to add this note, or Cancel to discard.
**Note that once synced with Autotask, notes cannot be edited or deleted in Moovila due to limitations in the AT API. Any changes or deletions to notes can occur only in Autotask.
