Using Template Analytics

Using Moovila's Template Analytics functionality allows comparison of statistics between all of the projects created using the same template. This comparison makes it possible to analyze and optimize project plans by examining variables like Work Actual and Duration Variance. The optimization of templates provides more accurate planning and estimation so that proposals that go to your clients are aligned with a profitable project. Granting Permission to View Template Analytics

In order for a user to have access to view Template Analytics, they will need to have the Analytics Viewer permission granted to their role.

  1. To check a user's security role, click on the More Options icon in the left navigation and select the User Admin option from the menu.

  2. The User Admin dialogue opens. Find the user in the listing and click into the Security Role column for this user.

  3. Mouse over the assigned user role to view the Edit icon. Click the Edit icon to view the security permissions associated with this role.
     
     
  4. Scroll down to the Dashboards and Reporting section and confirm that the Analytics Viewer option is displaying a checkmark. If desired, click the checkbox to activate this permission. Note that this will enable Template Analytics access to ALL users who hold this role. Click Save to save these changes. **If you do not wish to grant access to Template Analytics to all users with this role, you may need to create a new role. Learn how a new role is created here.**


Template-Level Columns

Template Analytics columns are available to be activated at the template level once a user has been granted the Analytics Viewer permission.

  1. To add all Template Analytics columns at once, click on the Workspaces icon in the upper navigation, then select the Template Analytics Review option.

     
  2. To view and select columns individually, click on the Column Display icon.

     
  3. Scroll to the Analytics section and select the desired columns.
    • Work Actual Average: Actual average number of hours logged for this task across all projects created using this template.
    • Work Actual Variance:The difference between the actual average number of hours logged for this task across all projects using this template and the work estimated for this task in the template.
    • Duration Average: The average duration applied for this task across all projects created using this template.
    • Duration Variance: The difference between the average duration applied for this task across all projects created using this template and the duration assigned to this task in the template.
    • Labor Actual Average: Actual average cost of labor for this task across all projects created using this template.
    • Labor Actual Variance: The difference between the actual average cost of labor for this task across all projects created using this template and the labor cost applied to this task in the template.
    • Work Estimate Average: Average of work estimates for this task across all projects created using this template.
    • Work Estimate Variance: The difference between the average of work estimates for this task across all projects created using this template and the work estimate assigned to the task in this template.
       
  4. These columns display in a turquoise shade to distinguish them from the others, but they may be dragged, dropped and expanded in the same way as regular columns.

Template-Level Analytics Display and Drilldown

  • As a template is used to open new projects, the analytics cells will begin to be populated based upon the "spawned" tasks.
  • Note that Work Actual and Labor Actual values will ONLY be populated for completed tasks to ensure their accuracy.
  • Users that are a leader on the template may drill down into any analytics cell at the task level to view greater detail. The following is displayed:

    a. Template Task Details: This will display the basics associated with this task in the template.
    b. Findings Analysis: A list of key takeaways from the data is displayed. Click on any row to see the tasks created from the template that contributed to that finding. 
    c. Task Averages and Variances: See the corresponding values for work estimate, work actual, duration, unit cost, labor budget, and labor actual. Numbers and charts in red require attention, those in green are showing a positive performance.
    d. Recommended Updates: Using the datapoints generated by tasks created using this template, suggestions are provided to make the values used in the template more accurate. Select the recommended update you wish to apply and click on the Update Template w/ Selected Values button.
    e. Tasks Created from Template: This displays all of the tasks that have been "spawned" from the use of this template, their corresponding project, and the detail of each of the tracked values for that specific instance of the task.


Project-Level Views of Template Analytics Columns

Template Analytics columns are available to be activated at the project level once a user has been granted the Analytics Viewer permission. There is not a drilldown view at the project level. These columns will need to be turned on via the Column Display icon.

  • Template Work Estimate: The number of hours estimated for the task's completion in the template.
  • Template Work Estimate Variance:The difference between the number of hours estimated for the task's completion in the template and the number of hours estimated in this project.
  • Template Work Actual Variance: The difference between the number of hours logged towards this task and the number of hours estimated for the task's completion in the template.
  • Template Labor Variance: The difference between the amount of labor cost associated with this task in the template and the amount of labor cost associated with this task in this project.
  • Template Duration Variance: The difference between the number of days estimated for the task's completion in the template and the number of days estimated for the task's completion in this project.
