Attachments can be added at the task or project level, and both can be viewed in the Attachment Repository.
To add attachments at the task level:
- Open the project, and click on the Attachment icon in the row of the task that will hold the attachment. (If the attachment icon does not appear, you may need to add it by clicking on the Column icon
, and selecting it from the dropdown menu).
- The Attachments dialogue opens. Click the Add Attachment button to add a new file.
- Select the file source from the menu. This is where the file currently resides. Note that only enabled cloud storage providers for the enterprise will appear available (in the example below, Box has not been enabled). The following file types may be uploaded: .AI, .CSS, .DOC, .DOCX, .DWG, .EPS, .FLV, .GIF, .HTML, .IDML, .INDD, .JPEG, .JPG, .KEY, .MOV, .MP4, .MPEG, .MPP, .NONE, .NUMBERS, .OTF, .OTHER, .PAGES, .PDF, .PNG, .PPT, .PPTX, .PSB, .PSD, .SVG, .SWF, .TIF, .TIFF, .TTF, .TXT, .VSD, .VSDX, .WMF, .WMV, .WOFF, .XLS, .XLSM, .XLSX, and .ZIP. The maximum file size is 25MB.
Note: The first time an attachment is added from a cloud storage location you will be redirected and required to authenticate into the cloud storage provider. Learn more here. After that initial login, Moovila will automatically authenticate creating a seamless experience.
- The location opens, and a file can be selected. The File appears in your attachments listing with pre-filled details about the file type, whether it an be seen as a preview, the file name, contributor, and upload date. The Name and Description fields are editable. To add another file, click the Add button again. To save, click the Apply button, or click Cancel to discard.
- The attachment now displays as a part of the count associated with this task. Click the Save button to save this attachment addition, or Cancel to discard.
To add attachments at the project level:
- To add attachments at the project level, click on the Attachments icon in the main menu. A count will appear next to the icon if there are already files in the Attachment Repository. These files may have been added at the task or project level--all files that a user has the rights to see will appear in this repository.
- The Attachments Repository opens. This dialogue displays the file type, allows the file to be previewed via the Viewer field, or allows files to be downloaded by clicking the Download icon. Click the Add icon to add a new file to the repository.
- The new file will appear in the listing. Note that the Task field for this attachment is empty. This will only be populated when the attachment is added at the task level. The attachment's name or description may be edited. By default, the visibility of an attachment is set to All Project Participants. This means that anyone with access to the project will have access to this file. To modify this setting, click on the Visibility field.
- Select a visibility option from the dropdown menu, then click the Save button to keep changes.
- The attachments icon is now updated with the new count of files associated with this project.
