Creating a Project: Building Budgets in Moovila

  1. Open the project that the budget will be applied to in Critical Path, Power Grid, Timeline, Thumbnail, or Kanban view.

     
  2. The Resource Budget dialogue opens. If the project does not have any tasks with hours associated with them as you're beginning your budget, it will appear as the first example below. If the project has tasks with time allocated, they will be flagged in the resource budget screen so that they can be considered in the budget--this is depicted in the second example below. By default, the budget will be allocated by Resource Type, if you wish to change this to Cost Code, make this update first by clicking on the Allocate By button in the upper right of the screen.

     

    Click the Add button at the bottom of the screen to add a resource budget item.




     

  3. The resource budget category type dropdown menu will open. Select a category for the budget item. This field is mandatory.

     
  4. A new row will appear in the Resource Budget Power Grid. Choose a Resource Type if desired, and if there are resources associated with that resource type they will be listed in the Resource column (e.g. the Resource Type is Project Manager, and a list of users who are project managers will appear). If a Resource Type is selected, the Name field will be populated, otherwise a name may be entered. Add a quantity for the resource and unit cost. Optionally, add a cost code and associate the budget item with a task for tracking in the project Power Grid. The Enter key may be used to add more line items to the budget. Click Save to move forward and save the budget.

     
  5. In this example we have two tasks within the project plan that have been assigned hours, but we have not addressed those hours within the budget. (These tasks are flagged with the orange Intelligent Budget Control indicator). To add these hours to the budget, first check to make sure that the Action Button column is being displayed in the Resource Budget. Click on the Column Display icon, then select Action Button from the dropdown menu.

  6. The Action Button column now appears. Click the Add to Budget button associated with each task to include this work assignment in the budget.

     
  7. Click Save to keep these changes to the budget, or Cancel to discard.

     
  8. Additional options for viewing the budget can be found in the menu. Clicking on the Group icon provides options for how budget items are sorted and displayed.

    Clicking on the Column Headers icon provides a listing of columns that can selected for display in the Power Grid.

    The More Options icon dropdown menu contains options to reset columns, export, or print the Budget Power Grid.
