There are two ways to make project time billable: the first is by applying a rate schedule to the project, the second is by marking time billable in the Time Log.
Applying a Rate Schedule to the Project
Rate schedules are designed to quickly assign billable rates to multiple resource types at the project level. Learn how to create a rate schedule here.
- Once your rate schedule has been created, open the project that you wish to make billable. Click on the Project Title.
- The Edit Project dialogue opens. Click on the Financial Tab.
- Click on the Rate Schedule dropdown and select the rate schedule you wish to apply. Click Save to keep changes.
Congratulations, all of your future time entries associated with this project will be marked as billable! If there are pre-existing time entries they will need to be adjusted to make them billable. Read on to learn how.
Marking Time Billable in the Time Log
- Accessing the Time Log can be done at the task level, by clicking on the Time Log icon in Power Grid view, or by clicking into the Time Log box in the task detail view.
The Time Log can also be accessed at the system-wide level by clicking on the Resources icon in the left navigation and then selecting the Labor Time Log option.
- The Time Log opens displaying your time. If you have General Timecard Approval permission you will be able to view the time entries of your team members. In the Billable column, check the Billable box to mark the entry as billable. Click Save to commit changes. (Please note: If timecards are integrated with an outside system, they cannot be modified once approved or the ticket is closed. Values will be overwritten with original values)
In the event that you do not see the Billable column, click on the column finder in the upper navigation to add it.
Please note that:- The Rate Schedule, Resource Type and Bill Rate all appear here and may be edited as well.
- If the Rate Schedule column is already populated, it means that the project to which the task belongs had a rate schedule applied.
- If the Resource Type column is already populated, it means that the task to which the time was logged had a resource type assigned. If it appears as [Default], the user's default resource type will be applied (this can be found in User Admin).
- Even if the Bill Rate column is populated, the Billable box still must be checked in order for the time entry to be billable.
- The Bill Rate is determined by:
- The rate schedule, if one has been applied to the project.
- If there's no rate schedule, the bill rate entered for the user in the User Admin will be used.
- If there's no bill rate entered for that specific user, the bill rate associated with the resource type assigned to the task will be used.
- If there's no resource type assigned to the task, the rate associated with the user's default resource type, as established in the User Admin will be used.
- If there's no rate associated with the user's default resource type or the user does not have a default resource type, the enterprise default billing rate (as established in the Enterprise Settings by a system administrator) will be used.
