Resource Capacity: Adding Appointments to Capacity Data

With the release of Moovila version 39.0 it is now possible to include integrated calendar data (and ConnectWise appointment data for users with this integration) in Resource Capacity Analysis. Here's how to add this data to your Resource Capacity view and a few things to keep in mind as you do:

  1. Navigate to the Resource Capacity Analysis module via the left navigation.

  2. The Resource Capacity dialogue opens. Click the Edit icon.

     
  3. Appointment data can be incorporated into new panels or added to existing panels. We'll walk through adding a new panel here, but the same steps would apply if editing.
    Click the Add Panel button.

     
  4. The Dashboard Panel Editor opens. Select [Custom Panel] from the dropdown menu.

  5. Click the Custom Filter Settings button.

  6. The Filter Capacity Inspector opens. This is where the data that will appear in this panel is defined. Check the Linked Calendars and/or ConnectWise PSA options in the Appointment Data section, then click Apply.

  7. Back in the Dashboard Panel Editor, there is an option to either group or sub-group data by source. This allows you to see how this appointment data impacts your users' overall capacity. Click Apply to create this panel, then Save in the Resource Capacity Analysis area to save it.

  8. Once the panel is saved it can be drilled into. Click once on the segment you wish to drill into and click on the drill-down link

     
  9. The Resource Assignments drilldown dialogue opens. Once a Linked Calendar Data option is selected, the following info will be brought into Resource Capacity panels:

      • Source fields, indicating if the appointment came from Moovila, Outlook, Gmail, or ConnectWise. Note that in the above example the Google appointment appears "greyed out" and that the Moovila appointment below it does not. This is because any appointment that appears in this listing from an integration is not editable, but Moovila appointments/assignments are.
      • Start and End Times will appear in the drilldown view, showing exact times.
      • Overlapping appointments are flagged and also accounted for in Resource Capacity Analysis logic, adjusting the value accordingly.
      • Multi-Day Appointments will be flagged and "capped" so that the number of hours associated with that appointment cannot exceed the number of hours in that user's work day. (e.g. Sara is taking PTO Monday-Friday and puts this onto her personal calendar. Instead of being counted for 120 hours, it would be counted for 40).
