A manual time entry is time that is added without clocking in/out of the platform. To add a manual time entry:
- From the Homescreen, click on the Resources icon in the left navigation.
- The Resource Tracking menu opens. Click on the Create Manual Time Entry option.
-
The Enter Time dialogue opens, displaying any time entries already made today via clocking in/out or as a manual entry. Click the "+" button at the bottom of the screen to add a new time entry.
Note that if you are not seeing all of the fields that are displayed in the screenshot above, you may need to reset your column display. Do this by clicking into the Column Selector icon in the upper navigation and then selecting
- Enter the total amount of time associated with this entry. Note that by default the unit of entry will be hours, but this can be modified by selecting another time unit (secs, mins, days, wks, mos, yrs). Click OK or hit the return key to enter this time.
Enter details for the time entry, using the tab key to advance through fields in the Power Grid. Before the entry has been saved it will appear as a green row. Multiple entries may be added and saved in a batch.
- A few notes and examples around entering time:
- Clock in time is always "fixed." Altering the total time will manipulate the clock out time.
- Altering the clock out time will adjust the total time based upon the start time.
- Effective date is a read-only field, but can be modified by changing the Clock In Date.
- Regarding future-dated time entries or where the span of hours pushes out the clock out date to a later date: Each manual time entry's clock in date/time and clock out date/time is validated. So, if you are adding 56 hours as a time record for example, the clock in date/time is defaulted to today, and the span is likely pushing the clock out date past today’s date. In order for this time entry to be accepted, your enterprise settings must be set to allow future time entries.
Let's take the example above, where we've got a 3 hour time entry starting at 9am and ending at 12pm. If we change the clock-in time to 8am (see below), the clock out time will change to 11am and the total time will remain at 3 hours.
If we take the time entry above and change the end time back to 12pm, the clock-in time remains at 8am (the clock-in time is fixed) and the total time updates to 4 hours.
Lastly, if we change the total time from 4 hours to 5 hours, the clock-in time remains at 8am (the clock-in time is fixed) and that the clock out time shifts back to 1pm. - Once all desired time entries have been included, click the Save button to continue or the Cancel button to discard. Once saved, the time entry will appear as a standard row.
- Manually added time entries will appear alongside standard time entries that utilize the time clock. In the example below, note the icons in the "Type" column. The first entry is a standard time entry. The second is a manual time entry.
