Version 37.0 - Release Notes

Moovila Version 37.0 was released on January 24, 2025, at 8pm EST.

The following updates are available in this release: 


Smart Schedule Functionality:

  • Project View of Smart Schedule: Within a project, a new Smart Schedule option is now available in the top menu bar.

      • User Filtering: When selected, the users are pre-filtered for that specific project, ensuring that only the most relevant data is displayed. This filtering is based on the following:​ task owners, anyone who has been scheduled tasks in the project, contributing members based on the teams assigned to the project or individual contributors.
      • Individual Task Options: These are available to provide more ways that scheduling can be executed--an appointment can be broken out to provide more granular scheduling for tasks with longer work estimates (e.g. an 8 hour time block could be broken out into 4 x 2 hour time blocks), at the task level users may override the default setting for user assignment.
      • User Sort Order: There is a new sort order for Project Activity which is used as the default in the project view. This will sort users based on the # of tasks assigned in the project (number of tasks owned takes priority in sort order)​ and the # of appointments assigned in the project​.
    • Multi-Task Selection Panel: Users that have the appropriate permissions for scheduling (the Smart Schedule Multi-Task permission) will now have a slide out panel on the right side of the Smart Schedule to view all outstanding appointments ready for scheduling. From this panel they may be individually reviewed, or bulk selected and assigned in quick succession.

      • Multi-Task Selection Auto-Find: When tasks have been selected, users will select “Auto-Find” which will find the next available open slot based on the various Smart Schedule settings (Date Range, RPAX dates vs. Actual Dates, and user assignment).

          • After auto-find slots have been found, those appointments can be dragged and dropped within the calendar view. Tasks can also be dragged individually from the multi-task panel for scheduling.

          • When appointments have been found, users can then click on an appointment, and it will be highlighted in bold within the Smart Schedule. If the recommended appointment falls outside the current calendar view, it will be indicated via an arrow icon next to that task. When selected, it will take you to the appropriate view for the schedule to be visible.​

          • Schedule items will not automatically be applied. The user must review the recommended changes and approve. Selecting each individual schedule item will navigate the user to the applicable item. Users can de-select any schedules they do not wish to save.​

          • Task Sorting: Within this panel, tasks available for scheduling may be sorted by task name, start date, due date, task owner, resource type, project, or customer.
          • Date Options for Auto-Find functionality are available via Settings in the Multi-Task panel. These are:
              • Always use Task Start/Due Dates: This will auto-find the available selected slots based on the user defined task start and due dates.
              • RPAX forecast dates where available: This option will use the Critical Path forecast dates for the task (if they are available).
          • Search Date Range can also be established in the Settings options in the Multi-Task panel. They include:
              • Current Calendar View Date Range: This option will only display available time slots based upon the current calendar view settings. For example, if you are in weekly view mode, it will only show options that fall into the week displaying.
              • 90 days into the future: This option finds available time slots from today to 90 days into the future. 
          • Default User Assignments may be adjusted in the Settings Options in the Multi-Task panel. They include:
              • Always use task owner: This option defaults the appointment scheduling to the task owner assigned.
              • Use task owner unless late, then use first qualified resource: This option will default to the task owner unless the task is either late or forecasted to be late based upon the setting for auto-find. A qualified resource is one that has the highest match rate based upon the resource type and skill set. A qualified resource will only be used if they can complete the work before the task owner (i.e. if the next qualified resource is booked and the task owner would end up completing the task first, that task owner would continue to be used).
              • Use first qualified resource: This option finds the next available qualified resource (based upon match strength) to assign the task to. If no qualified resource can complete the appointment before the task owner, it will fall back to the task owner.
          • Filter Options: An independent filter is available within the multi-task view--this is similar to the filter found in the My Tasks view. Note that by default, the Owner filter is pre-populated with other users that are on the project, but may be modified as needed.
        • Schedule Total Columns: These new column options are available both in project and task views, which can also display summarized schedule totals per task/project.

          The schedule columns options are also available for reporting within the Project Dashboard and Tasks Dashboard. This also allows for totals to be performed on each column​.

            • These new columns are:​

              • Next Appointment: This column displays the next scheduled (earliest) open appointment for the task. If the next scheduled appointment is in the past, that will be displayed in red​.

              • Schedule Total: This column displays the total scheduled hours on the task  (including closed appointments)​.
              • Schedule Closed: This column displays the total closed appointment hours​ for the task.
              • Unscheduled Balance: This column displays the remaining hours to be scheduled for the task. This takes the work estimate and subtracts the schedule total.​
              • Schedule Open: This column displays open scheduled hours for the task.
              • Work Remaining: This column displays the total estimated hours for a task multiplied by the percentage complete. For example, if a task has 10 hours estimated and is marked as 50% complete, it will show 5 hours of work remaining.
          • Portfolio Level Schedule Total Columns:
              • Schedule – Total Closed Scheduled​: Summarized value for all schedule appointments that have been closed on the project​
              • Schedule – Total Hours Scheduled:Summarized value for total schedule appointments on the project (including closed appts)​
              • Schedule – Total Open Scheduled:Summarized value for all schedule appointments that are still open on the project​
              • Schedule – Unscheduled Balance​: Remaining hours to be scheduled on the project​ similar to the task but at a summary level this is the Project Effort Balance- Total Open Scheduled​​
  • Miscellaneous Feature Enhancements:
      • Within Moovila's Capacity module, variances over targets will now be shown as a percentage over target vs. visualized as a full time headcount variance.
      • When Portfolio notes are accessed, there is now a new filter option for “Project Owner”. This will allow users to filter down notes specific to a project owner​.
      • Within Task PowerGrids and Dashboards, a new filter is available for “Start or Due within”. This will allow users to find all work that either begins or is due within a specified period.
      • Within the project details, when a project status is marked as complete, the project completed date will be populated. This field can be changed if needed.
      • Within Portfolio PowerGrids and Dashboards, new filters are available are available to filter projects by Completed Date, Start Date, and Due Date.
      • For users with a PSA integration, when Project Details panel is opened (from clicking the project name or from the “More” menu option) we will pull to get the latest vision detail to reduce stale data.

      • Public API Admin permission has been added to the security role permission selection.​

  • Minor Releases:
      • 1/27/25 (Hotfix, Version 37.0.72349): This hotfix resolved an issue wherein if multiple projects or phases were selected in the Duplicate from Project/Template modal, only one would be duplicated. Now all of the selected projects and phases will be duplicated. Additionally, it resolved issues with the export project (XML) functionality.
      • 1/27/25 (Hotfix): An AutoTask integration-specific hotfix was deployed, which cleaned up the work type sync comparison.
      • 1/28/25 (Hotfix): This hotfix was a performance enhancement, which decreased project load time.
      • 1/29/25: This release was a backend change to address an issue around the VisionCompletedDate--this field is now set when a project status is updated from an outside system.
      • 1/31/25 (Hotfix): This hotfix involved the following functionality:
      • The unscheduled schedule item balance now calculates and displays as intended at both the project and task levels.
      • Resolution of the following bugs:
        • Notes dashboard panel on the Project portfolio freezing
        • Notes dashboard creator filter blanks out
      • Updates to JWT security.
      • 2/5/25 (Hotfix): This release was an update to denormalization in the CPEngine container. This results in the project portfolio's Tasks, Done, Open, and Late columns calculating properly. 
      • 2/5/25 (Hotfix): This release resolves an issue around marking projects closed in Autotask. Projects without status detail will now save as intended with the status detail set to "closed via Moovila integration" when closing the project.
