License Type Changes: Moovila has modified the license type structure to better-fit the way that the platform is being used. User Admin has been updated to reflect these new license names, and a quick search capability was added. Watch a new video on User Admin + License Types in Moovila here.
- License Types have been updated:
- User Seat (formerly Full License): Grants full functionality and is the only type of license which can be assigned a security role. Any user with the previous contributor license will be upgraded to a User Seat.
- Integration Seat (formerly Profile License): These licenses are only available for MSPs using Moovila PSA integration users who need view-only access in Moovila. May be assigned tasks, but are unable to add/edit/update information. Can see time entries, Smart Schedule, and notes. This license type may not be assigned a security role.
- View Only Seat: Access for stakeholders and executives who do not need to interact with the platform. May view projects and tasks. Cannot add/edit/update information in the platform or be assigned work. This license type may not be assigned a security role.

Guest Seat (formerly Extended User): This option allows users from outside of your organization (vendors, clients, etc.) to view and participate in projects. These users may be assigned tasks and edit/complete them. They have a limited view of columns. Read more about these restrictions in Understanding Guest User Data Visibility. This license type may not be assigned a security role.
- Guest users (formerly known as Extended Users) will now be added via the User Admin dialog.
- There is a 4 to 1 ratio for Guest and View Only license seats to User seats.
Visibility + Permissions Updates
- A new permission has been added for Universal Team View/Edit, allowing users to view all teams for their enterprise and to edit them as well.
- A new permission has been added for Universal Project View, allowing users to gain access to all projects in their enterprise.
Team Admin Changes
Teams functionality has moved from the left navigation to the More Options menu, and now exists in a Team Admin dialog:
- Shows a listing of all teams the user has rights to view in a single dialog.
- A filter is available to limit teams displayed based on status, type, leaders, or members.
- A Quick Search has been added to the UI to quickly filter data based on a search term (Including finding all teams a specific user is associated with).
- Guest Users (formerly known as Extended Users) are now added through User Admin.
- Users may now be deleted if they do not have any team activity. Users with team activity may be deactivated.

Dashboard Publishing and Template Management
- Using the new dashboard functionality, users may now publish default dashboard templates within their own organization. These templates are no longer tied to specific projects and may be managed independently.
- Using the Manage Default Dashboards dialog, admins may now create default dashboards for their users with multiple layouts with established business rules surrounding license types and security roles.
- Each dashboard area: Tasks, Portfolio, Project Detail may have different defaults.
- When a user logs in they will be served the dashboard that corresponds to their enterprise, license type and security role based on the contents of the enterprise’s default dashboard table.
- Dashboard templates are now stand alone and aren’t linked to any “in use” dashboards by users.
- Default dashboard panels may be activated and deactivated.

Task and Portfolio Filter Enhancements
- The Task filter has new options for the following project-level criteria: Program, Category, Product, Stage, Project Priority, Project Owner, and Project Status Category.
- The Portfolio filter now has the ability to filter by the project’s managing team.
Appointments Dashboard and Log Updates
This version of Moovila introduces Appointment Dashboards, which allow users to curate listings of appointments. Additional detail surrounding appointment timing has also been incorporated into the user interface to provide more clarity into how the appointment aligns with the task start and due dates, as well as the forecasted dates for the task.

Preconfigured + Custom Appointment Dashboard Panels: These appointment-specific panels will be available in My Tasks, Project Portfolio and Project Detail dashboards.
- Preconfigured panels are available for "My Upcoming Appointments" and "My Overdue Appointments."

Custom Appointment panels may be added like other dashboard panels (Appointment Panels> [Custom Panel]) and can be included in templates as well.
- Appointments may be filtered by owner, project, status, and/or appointment start date.
- Users may select which columns will display in the panel, and several new columns have been added, including:
- Schedule Dates Combined: Shows a composite view of the date, time and a health indicator for that appointment.
- Schedule Timing: Shows the status of an appointment’s scheduling, highlighting any issues and their potential effects when applicable.
- Task Start + Due Dates with Forecasting: If there is any variance in a task’s scheduled and forecasted dates it will display.

Appointment Log: With this version we have introduced a project level Appointment Log, which displays the full listing of appointments in a project for improved visibility. From this dialog, users are able to analyze the likelihood of appointments to occur according to plan and edit those appointments. It can be launched in the following locations:
- Via the Schedule Column in the Task Power Grid or from the Task Detail view. This dialog, which was formerly called the Resource Schedule, has been enhanced with additional columns, and shows all appointments associated with the task.
- Via the Project’s More Options Menu, which shows all appointments associated with that project. (Note that only users that are leaders on the project and have the Smart Schedule Multi-Task permission will have access to this area.)
Smart Schedule Updates
- There are new choices for Smart Schedule settings for Multi-Task Autofind. Users can now choose to view options 120 and 180 days into the future. Note that extending the search range to the full extent may impact load times.
- For users with access to Smart Schedule, Calendar view in Tasks has been deprecated.
RPAX Dates and Update Enhancements

Increased Visibility for RPAX Forecast Dates: Task forecast dates are now visible in various views to provide improved access to that information beyond the Critical Path view. Forecast dates (when they differ from scheduled dates) may now be displayed at the task level for Start and Due Dates. At the phase header level, they are displayed in the same fashion, showing the forecasted start and due dates for that phase.
- This feature must be turned on, and users may do so via the More Options menu by selecting the Show Forecast Dates When Available option.
- Task dashboard panels in Project Detail will also reflect these dates when selected during configuration, including within Custom Appointment dashboard panels.

Easier Critical Path Updates: Critical Path Alerts and the Update Timeline button have been added to the Power Grid and Timeline Gantt views, making it possible to easily update the Critical Path dates from other views as well.

Navigation + UI Updates
- Default Location: Users may now choose a default location for the application so that upon opening Moovila either the Project Portfolio or My Tasks screen will display. This update can be made via the More Options menu in the left navigation within Interface Preferences.
- Easier Updates for Work Hours: The User Admin dialog now contains a column called “Work Hours.” This column allows admins to easily set/update user capacity (typical work hours, holidays, etc.) from User Admin and to quickly update this information for users who do not access the system.

Notification Center UI Updates: The Notifications Center UI has been updated to provide a sleeker interface to users.
- Chat Deactivation Option: In Enterprise Settings, system admins may now opt out of chat functionality for their organization. Disabling chat will remove it from the UI for all users.

Open Grid Controls: Available in Interface Preferences, users may now have a grid control (e.g. status picker, duration picker, etc.), open when they first click on a cell, or have the first click highlight the cell after which they can either type (or use keyboard), or issue a second click to open the modal. By default, this will be selected, opening the grid control with the first click.
Miscellaneous Features + Enhancements:
- Workspaces (customizable, publishable), have been added to the Project Portfolio area.
- Grid areas are now able to be scrolled horizontally from track pads.

Within the task dependency editor dialog in a project, task's order numbers are now always visible and column widths may now be adjusted.
Hotfixes and Minor Releases

5/27/26: There were several smaller releases that were pushed live today:
- An update which allows all Guest users to login with Moovila login.
- The addition of default dashboard functionality to the Resource Capacity area and the addition of the Integration Seat License Type to default dashboards configurations.
- Updates to the internal admin site to support the new license types and other few miscellaneous items.
- An update of the dotnet 10 related libraries.
- An adjustment to logic for task note effective dates when a time entry is updated, ensuring the generalNoteEfffectiveDate is set to the action arrival date property rather than the dateTime property.
- 5/28/26: This minor release provides an additional internal endpoint that allows for bulk updates of ticket overrides. A second minor release on this date adds a duplicate task metric to allow for the easy tracking of potential duplicate task creations.

5/29/26: A minor releases on this date include the following small changes:
- RPAX dates are no longer shown by default. User’s who have already toggled to show RPAX dates will keep their current setting.
- Cancelled and closed tasks will not show RPAX dates
- The setting for RPAX dates (whether they are shown or hidden) will be adhered to on "Save As PDF" functionality.
- An improvement to the efficiency of the potential duplicate task metric as well as addition of the taskName tag to the metric for the Moovila back-end.
- 6/3/26: Minor releases deployed on this date all pertained to dotnet 10 updates and library updates.
- 6/4/26 (Hotfix): This hotfix addresses an ssue with team edit that prevented team members in teams larger than 200 users from showing in the edit form. It also adds new functionality to mark team members as deleted with a red highlighted row, and allows for undoing the delete of a user prior to saving.
- 6/5/26: This release contains the new features for skill sync and automatic project import and a logging change to no longer log webhook callbacks unnecessarily. Skill and auto project import are administered via a feature flag.6/8/26: This release ensures that “Appointment Panels” in the Project Dashboard editor are only visible to enterprises with the Create Schedule Events permission.6/10/26: There were two minor releases deployed on this date. The first is an update to manage Schedule statuses and categories. The second this is a backend update to allow for guest users to be invited to teams (this will be reflected in the front end in an upcoming release).
